Eventos took part when Vegemessut broke its visitor record
The largest vegetarian food event in the Nordic countries, was organized for the first time using Eventos.
Vegemessut is an event organized by Vegefirma in Helsinki since 2017, showcasing vegan food and vegetarianism. The annual fair brings the hottest new products from the vegan food world to Kaapelitehdas and attracts over 8,000 visitors.
The weekend-long vegan festival is a well-known event that also receives media attention. In addition to the three-day public event, the concept includes a trade fair for professionals, aimed at all representatives of the food industry.
Removing bottlenecks with self-service registration
Vegefirma wanted to provide a simple way to register and obtain a participant pass for the professional day. They chose Eventos’ check-in service as the solution.
Registered guests received a QR code with their confirmation email, which they could present to print their participant badge at the event entrance, including their name, organization, and title details.
“We wanted to implement a reliable and smooth check-in process for the professional day, without bottlenecks. Eventos’ check-in process suited this need well, allowing visitors to check in themselves and print their name badges at the event entrance. The process was made faster by QR codes sent to participants in advance, which were scanned at the door. Overall, the check-in exceeded expectations.”, says the CEO of Vegefirma Karry Hedberg.
Streamlining ticket sales
Several thousand advance tickets for the public event were sold through the Eventos ticket sales form. Because the form was embedded directly into the Vegemessut website, visitors could purchase tickets without extra clicks or registrations. Payment options included Paytrail’s online banking, credit card, and mobile payment methods, for which Eventos provides a ready-made integration.
“In previous years, our ticket sales had been handled through the service provider’s website. This time, we implemented ticket sales directly on our own event website, which proved to be a smoother solution compared to the previous approach. We were a little nervous about moving to a new way of working, but the overall experience turned out to be easy and convenient,” says Hedberg.
Record attendance and successful collaboration
Vegemessut staff checked tickets using the Eventos Contact web application throughout the event weekend. A few fixed ticket-scanning cameras were used, and tickets were also checked with mobile phones, especially during the busiest periods.
The event was a success overall, and as a result it achieved, among other things, a new attendance record in both the public event and the professional day.
“Planning for the event implementation began well in advance together with the client, which allowed us to have constructive discussions about sensible ways of working and to take into account development requests related to ticket sales, among other things. The organizing team clearly demonstrated a strong desire to develop the event, which provided an excellent foundation for collaboration. Vegemessut is one of the most enjoyable event projects I have had the opportunity to be involved in.”, says the Prospectum project lead Akseli Hietala.
