SKAL ry uses digital services with an open mind at its General Assembly
An event management system also makes organizing formal meetings easier. The General Assembly of the Finnish Transport and Logistics SKAL has been a pioneer in using digital services.
Prospectum was a partner when the Finnish Transport and Logistics SKAL held its General Assembly on 8 June 2024 in Tahko, Kuopio. The General Assembly approved the organization’s new strategy and elected a new leadership. Everything ran efficiently with the help of the Eventos tool.
The SKAL General Assembly weekend is a series of events that combines the formal General Assembly with networking and more informal social activities. Partners and spouses are also taken into account, and a wide range of programme is offered.
“Managing a large-scale event also requires versatility and flexibility from the event management system,” says SKAL’s event coordinator responsible for the weekend programme Sanna Hämäläinen .
SKAL is an advocacy organization for road freight transport and logistics service companies. The organization has approximately 3,900 member transport companies across Finland. The General Assembly consists of representatives from 13 member associations who speak on behalf of the entire membership.
The General Assembly voting results were available in under a minute with Eventos
“We moved to electronic voting in our 2021 virtual meeting when gathering restrictions prevented an in-person meeting. Since our experience with electronic voting was very positive, we have also used Prospectum Oy’s services at the General Assembly in 2022 and now in Tahko,” says Hämäläinen.
This time, the management of the conference weekend was carried out using the updated Eventos service. Participant data was collected in the system already during the registration phase. All programme and other information for the weekend was published in the Eventos App, and links to the app were sent to participants well in advance. This ensured that important information and schedules reached everyone.
During its General Assembly weekend in Tahko, SKAL also launched a new logo and visual identity, which was promptly updated in the Eventos App. The new look was therefore made available immediately.
“Check-in for the General Assembly participants was done by scanning a QR code in the Eventos App, which granted voting rights to those present. The voting itself took place in the Eventos App, and the vote counting took into account the weighting assigned to each participant,” says Pekka Neuvonen from Prospectum, who was also present at the venue.
“Electronic voting is still considered somewhat ‘novel’ in formal meetings, but the voting went very smoothly and the results were available in under a minute,” Neuvonen continues.
